They are seeking a highly organised Office & Projects Coordinator to provide essential operational and project support to their growing team.
This is a varied role that will see you working closely with the leadership team, supporting office operations, project coordination, and business systems while contributing to the smooth delivery of residential projects.
The Role
As the central support person within the business, you will be responsible for ensuring the day-to-day operations of the office run efficiently while providing administrative support across multiple projects. You will work alongside architects, designers, project managers, and the leadership team, coordinating documentation, assisting with project administration, improving internal systems, and helping maintain a collaborative and organised workplace.
Key Responsibilities
- Coordinate the day-to-day administration and smooth running of the office.
- Support project teams with document control, project reporting, meeting coordination, and administration.
- Prepare, format, and maintain project documentation, presentations, and company templates.
- Assist with project scheduling, timesheet administration, and quality assurance processes.
- Coordinate employee onboarding, inductions, records, travel arrangements, office supplies, and team events.
- Maintain and improve internal procedures, systems, and business documentation.
- Provide first-level support for Microsoft 365 applications and coordinate with external IT providers when required.
- Manage staff hardware, software access, and system setup for new employees.
- Support continuous improvement initiatives across business operations and project delivery.
Skills and Experience
- Previous experience in office administration, project coordination, studio coordination, or business support.
- Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication skills and exceptional attention to detail.
- Advanced Microsoft Office and Microsoft 365 skills, including Word, Excel, Outlook, Teams, and SharePoint.
- Experience supporting business systems or coordinating IT requirements is highly regarded.
- Ability to work proactively, take initiative, and support a collaborative team.
- Experience within architecture, construction, engineering, property, or a project-based environment will be highly regarded.
- Qualification in Business Administration or a related discipline is advantageous.
